FDA - AO Approve Statement

Now that cardholders have approved their statements, it's the AO's turn to review and approve these statements.

First, click on Reconciliation at the top navbar.

The bottom half of the screen will show you a list of your cardholders and their statements.


When your cardholder Approves his/her statement, you'll see their status change to Approved. That means you are able to review and approve or reject their statement. 


** If your Cardholder still shows Open as the status, that means that they are not ready for you to approve the statement.


Clicking the statement month that you want to approve, you'll see the list of transactions:



Simply review the list of charges. If anything jumps out as needing corrections or disputes, just flag the transaction by clicking the "Requires Correction" checkbox and click Update. This will instantly change the status from "Cardholder Approved" to "Not Approved." You can even add a comment about what is wrong using the Comments link to the right of each transaction.

The Cardholder will receive an email notifying them that their statement has been rejected. When they have made the necessary changes, they will re-approve their statement, and the status will show ready for your approval. 


Financial Information Missing

If you see this notice on any transaction, click the Visa Request Form link to add the proper information:


Add the necessary financial information to the Visa Request Form:



When you have entered all the necessary financial information, Return to Reconciliation. You'll notice that the "Financial Info Missing" message has been removed. Do this for each transaction that has missing information, and then you'll be able to approve the statement.

 *** UPDATE: As of August 2017, we have included Investment Category on the Visa Request Form. You will set this field just as you would Program Area or Budget Line#.

Approve Statement

When you have reviewed the statement to your satisfaction, just click Approve Statement at the top. The status will show approved for you and the cardholder now.

Back on the main Reconciliation screen, your list of cardholders will reflect the statement you've approved as well:



This dashboard view will help you track who has submitted their statements and who you need to follow up with. 

You'll see statements for the past 12 months in this view.
